University Examination Committee

University Examination Committee in the college is a formal body responsible for organizing, supervising, and ensuring the smooth conduct of examinations in line with university regulations.

Functioning of the University Examination Committee

1. Planning and Preparation

  • Annual Academic Calendar: Committee aligns exam dates with the academic calendar.
  • Meeting Schedules: Regular meetings are held to discuss upcoming exams and responsibilities.
  • Resource Allocation: Allocate staff, rooms, invigilators, and necessary materials.

2. Communication with the University

  • Receive official exam notifications, schedules, and guidelines from the university.
  • Distribute university circulars to students and staff.
  • Coordinate collection and dispatch of university-issued materials (question papers, answer booklets, etc.).

3. University Examination Conduct

Pre-Exam Activities:
  • Receive question papers and stationery securely.
  • Prepare examination halls (seating arrangements, display of roll numbers).
  • Allocate and brief invigilators.
  • Distribute hall tickets/admit cards to students.
During Exams:
  • Monitor smooth conduct and maintain discipline.
  • Ensure timely distribution and collection of question papers and answer sheets.
  • Handle student grievances (e.g., incorrect question papers, emergencies).
  • Keep record of absentee students and malpractice cases (if any).
Post-Exam Duties:
  • Bundle and dispatch answer sheets to the university or evaluation centers.
  • Submit reports on exam conduct (absentees, malpractices, invigilator reports).
  • Store extra materials securely.

4. Maintaining Records and Reports

Maintain:

  • Attendance sheets
  • Mark registers
  • Examiner duty registers
  • Incident/malpractice reports
  • Meeting minutes

5. Feedback and Improvement

  • Collect feedback from students and staff post-exams.
  • Analyze challenges and suggest improvements for future exams.
  • Submit annual report to the principal and university (if required).
